Since the beginning of the Covid-19 pandemic, all owners and operators of buildings must consider the possibilities and implications of flexible work and desk-sharing. Most of the staff that were forced to work from home during the pandemic times will most likely wish to continue to do so to least a certain extent in the future.
Flexible Work
To assist our customer with those future requirements, we have several different tools on offer.
One of those tools is our highly flexible, user friendly app for booking workplaces. With just a few clicks, users can book a workplace or parking space for themselves or their colleagues, check-in to their desk, book additional services or search for colleagues. All graphical data contained in speedikon® C such as floorplans or 3D-models can be accessed through the app. Since such an app must never be looked at individually, it is of course seamlessly integrated into speedikon® C. This ensures that all user rights, affiliations, or user profiles are available within the app and allow for even the most complex bookings with just one click. For the booking data to be monitored and analyzed using powerful tools, they are all always accessible within speedikon® C.
The data from booking apps by third-party providers already in place can also be integrated using modern interfaces. In this case, the handling of thew workplaces, the booking process as well as the users takes place in the third-party application. The data on the bookings is then transferred to speedikon® C for further analyses and processing. This ensures that you can use the powerful tools contained within speedikon® C while your existing investment into the existing app is not wasted.
Possibly the most important issue to be analyzed is the utilization and the corresponding demand for workplaces. To determine the actual level of utilization it is nowhere near enough to only look at individual areas or work with colorful heatmaps. Therefore, speedikon® C provides the users with powerful tools to quickly analyze the entire portfolio over long periods of time in a very detailed manner. This level of detail is vital as using a desk 5 days for 4 hours each or 2 days for 10 hours each will both mathematically result in a utilization of 50% given a 40-hour week. While identical in terms of utilization, the two scenarios have a very different implication on the actual demand for workplaces.
While not very common just yet, it is very likely that the bookings will in future lead to some sort of cost allocation within the organization. These future requirements can easily be handled using standardized functions within speedikon® C. Whether you will be integration desk sharing costs into your existing cost allocation structures or whether you decide to create new structure solely depends on you and your process – we will support you with either approach.
In addition to the above, flexible work poses many more requirements the facility managers have to cope with. These could for example be topics relating to the security management, the provision of energy and resources or the access management. To support you and your colleagues with those upcoming requirements, all modules and functions contained within the C-platform may be integrated also.
